Training Administrator, Full Time 39.5 hours per week,
£23,500 to £25,000 per annum, depending on experience, with opportunity for further progression after training.

SP Training are a Carlisle based business delivering commercial training and apprenticeships for the logistics sector. As part of our ongoing expansion plans, we are looking for an experienced Administrator to join our administration department. You will be based at Carlisle Airport Business working as part of a busy and dynamic team. Full training and support will be given to enable you to work effectively with the team that supports the delivery of commercial and funded training. No experience is necessary in commercial and funded training as full training will be given, but general administration experience is an advantage.
You will be responsible for the provision of an administration service supporting course planning, joining instructions, sales bookings and booking amendments. You will support learners and apprentices undertaking a variety of logistics training courses using cloud-based software systems. You will take booking enquiries helping candidates to choose the correct training and give them advice on options. You will report directly to the Office Manager working closely with the other members of the friendly administration team.

You will be responsible for a variety of duties which support the training department and learners. You will work closely with the other members of the friendly, collaborative administration team and undertake a busy role which will provide you with a wide range of experience in administration in the training sector.
Main Responsibilities
Day to day
· Organising training courses – Checking the eligibility, sending joining instructions, arranging resources and answering queries.
· Learner support – dealing with learners on a day to day basis, ensuring they have a seamless journey through their learning, supporting learners with advice and guidance.
· Registering learners for qualifications, tests and exams – Ensuring that learners are registered for the qualification, test or examination they wish to undertake. Support learners with advice and guidance including eligibility.
· Booking exams – Booking remotely invigilated, employer invigilated and training centre invigilated exams. Liaising with the external clients to plan when learners will be sitting the exams.
· Certification – Downloading certificates and saving in the correct learner files. Ensuring learners and employers receive copies.
· Sending Results – Roll out of results via mail merge weekly
· Access Planit – Setting up courses on our internal CRM Access Planit for the different courses running on a regular basis and to ensure all slots are filled accordingly
· Updating Excel Spreadsheets/Trackers – Updating learning trackers using excel to ensure department is aware of all learning
· Updating attendance on Access Planit – Updating attendance for each week on the internal system and exporting classes that have non-attendees and sending to Accounts to invoice charges
Business Development
a) To answer enquiries politely and deal knowledgeably with clients supporting them and giving advice and guidance
b) To assist marketing campaigns for all the company’s training and revenue earning activities
Programme Support
a) To ensure that all programme materials and training aids are in place for training courses
b) To ensure that courses are administrated and candidates are registered in a timely manner issuing certification where appropriate.
Contract Performance
a) To assist in producing information that may be required relating to learners, learner numbers and expected outcomes.
b) Ensure that all contractual documentation is completed correctly and forwarded to meet deadlines as set by management

a) To ensure that all training is delivered in accordance with awarding body and contract requirement for quality and contractual specifications.
b) To review and evaluate training programmes and to identify areas for improvement.
c) To contribute in the organisation of preparations for relevant inspections by funding and awarding bodies supporting management.
