Administrative Assistant to provide support and guidance in the area of Student Support and Education. This role is crucial for ensuring that both the Student Support team and academic staff are well-supported and that key duties are undertaken efficiently.
As part of the School’s Professional Services Team, you will engage in a variety of tasks to meet operational and customer service requirements. You will act as the first point of contact for the School of Music Office, handling enquiries from internal and external customers via phone, email, and face-to-face interactions. Additionally, you will support student administration, including recruitment, admissions, enrolment, assessment, and feedback.
Salary: £23,700 - £24,533 per annum (Grade 3)

DUTIES AND RESPONSIBILITIES
Key Duties- Act as the first point of contact for the School of Music Office, dealing with a range of internal and external customers over the phone, via the School’s generic email accounts, and face-to-face, establishing their requirements and responding or escalating their queries as appropriate.
- Undertake a range of administrative activities to support student administration within the School, including recruitment, admissions, enrolment, assessment, and feedback.
- Assist with the arrangements for all events for students including inductions, Open Days, and Applicant Days.
- Collaborate with others in order to make recommendations for the development and improvement of established processes and procedures.
- Create good working relationships with key contacts to help improve service levels.
- Gather and review data to update administrative systems such as databases and spreadsheets, making sure the information is accurate, and highlighting to your line manager basic trends and patterns.
- Actively contribute to the success of the team and support the supervision and management of it.
Specific Duties- Support the administration of the School Committees and Exam Boards, as directed by the School Manager and the Education Manager.
- Support admissions activities to include: processing offers on SIMS, liaising with applicants and supporting the organisation of applicant and open days.
- Support the arrangements for enrolment week events, which includes the preparation of UG and PG enrolment packs as well as liaison with key members of staff and students.
- Provide administrative support for all assessments in the School including the scheduling and running of practical examinations, managing assignment submissions in Learning Central and recording assessment marks in SIMS.
- Support the administration of Extenuating Circumstances including maintaining records, liaising with students and members of the Extenuating Circumstances Committee.
- Assist with the production and maintenance of Student Handbooks and module catalogues.
- Be responsible for the School Office generic email accounts; responding to, directing and escalating queries and requests as appropriate.
- With colleagues, provide a reception service for the School Office dealing with queries from students, academic staff and visitors.
General Duties- Ensure that an understanding of the importance of confidentiality is applied when undertaking all duties.
- Abide by all University policies and undergo appropriate personal and professional development.
- Perform other duties which are not included above, but which will be consistent with the role.

Essential Criteria- Ability to carry out a variety of administrative tasks, including writing clearly and concisely.
- Experience of working in an administrative or office setting.
- Experience of using common office IT packages (e.g. MS Office, e-mail etc.).
- Ability to set up and maintain standard administrative systems and procedures, including using University systems to collate and record data online and in hard copy. (Training will be provided where required).
- Ability to communicate with a wide range of people effectively and courteously whilst maintaining professional standards, adapting your language and style of communication depending on who you are communicating with.
- Ability to work well with your team, knowing how to give advice, guidance and feedback (to colleagues and members of the public) as appropriate.
- Ability to deal with requests for information or service, resolving customer issues where appropriate, or being able to escalate where necessary.
- Ability to plan and organise your own workload within agreed timelines as set by your Line Manager.
- Ability to use your initiative to solve problems and respond to queries, finding and proposing the best solution.
