We are looking to recruit an experienced Claims/MIS Administrator to join our team with the responsibility for the successful compilation and recording of all paperwork belonging to our training courses funded through UK Shared Prosperity Fund (UKSPF) and our Apprenticeships provision. Working closely with the Office Manager and Finance Coordinator, applicants should have a proven track record of providing highly effective administration, including data entry and submission, tracking and monitoring using Excel, minute-taking, report preparation, responding to queries and general administrative duties.
Previous experience of working with funded training programmes through bodies such as ESFA or similar (such as ESF and AEB) is beneficial.

Duties Include:
- Issuing, compiling and recording paperwork completed by participants on our training courses
- Understanding funding and claims processes and requirements
- Upkeep of learner records including learner start and completion paperwork
- Entry into, upkeep and maintenance of the Individualised Learner Record (ILR)
- Preparation and analysis of Provider Data Self Assessment Toolkit (PDSAT) reports
- Maintaining and tracking learner evidence packs
- Some financial administration including processing of invoices
- Advertising apprentice vacancies on the Provider Portal and updating the system on a daily basis
- Use of the Learner Record Service to identify candidates qualifications and pull off learner achievement reports/seeking learner permission to do so
- Upkeep of UKSPF learner records including learner start and completion paperwork
- Maintaining and tracking UKSPF courses via the tracker and learner evidence packs
- Contacting employers and learners via email and telephone to chase missing evidence
- Provide support to staff on our e-Portfolio system, including completing compliance checks on new learner records
- General reception / administration duties
- Maintenance of archiving processes
Essential Criteria:
- Attention to detail
- Good level of IT skills with high levels of proficiency in Microsoft Excel and Word
- Level 2 Maths and English qualifications
- Excellent organisational and time-management skills
- The ability to manage pressure and conflicting demands, and prioritise tasks and workload to meet deadlines
Qualifications:
- Minimum of 5 GCSE’s grades A-C including Maths and English, or equivalent
- Excellent organisational skills and time-management skills
- Confident in using IT (Office, e-tools and e-portfolio platforms)
Salary:
- £20,000 - £24,000 depending on experience
