Responsibilities [the below listed tasks/responsibilities are not exhaustive:] Work closely with the operations manager to oversee daily business operations. Recommend improvements to improve performance and work efficiency from an operational perspective within various functions including People, Finance, Sales, Quality and Compliance. Assist with recruitment, onboarding and exit processes: (1) prepare conditional offer letters as requested by the operations manager [or other appropriate persons]; (2) ensuring all employees have a contract of employment in line with the relevant legislation; (3) request references and complete relevant DBS checks prior to the employment start date; (4) update the relevant employee tracker(s); (5) support managers with probationary period monitoring, advising them of the 3-month and 6-month process and assist them in issuing the applicable letters such as confirmation of probationary period pass, extension of probationary period or failing of probationary period; (6) assist with the exit processes. Support with monitoring the annual employee performance appraisal process. Assist the operations team with the production of relevant reports. Take minutes at meetings. Prepare and file relevant documents. Support with the development, implementation, and review of operational policies and procedures. Assist with the development of efficient systems for collection of information. Work with senior leaders and directors to plan for short- and long-term goals. Gather and analyses cross-functional data. Work with the operations manager to support all functions of the business to work together. Assist the organisation of events which includes searching for venues, arranging for any external speakers to attend, and carrying any other necessary tasks. Ensure compliance with laws and regulations. Attend relevant seminars and CPD activities. Consult with senior leaders and managers on all aspects of employee-related issues, including manager and employee issues, policies and procedures, misconduct, investigations, terminations, exit interview feedback, review of appealed terminations, reorganisations and claims. Compile, maintain, and update records as accurately as possible and prepare documents when needed. Operate relevant equipment/ICT packages (MS Office). Contribute to team effort by accomplishing related results as needed. Contribute to high level reports for the senior executive board to enable better informed decision making. Organise incoming communications effectively [such as emails] by filing appropriately, adhering to the 'LMP Way' rule of 10 emails in the inbox. Carry out any reasonable tasks and duties as deemed necessary to support the operations function and company as a whole. Desired Skills An understanding of the FE and training sector. An understanding of employability and skills funding provision. Proven work experience within the business administration field [2 years minimum]. Familiarity with business and financial principles. Ability to handle multiple priorities in a fast-paced working environment. Ability to demonstrate a good understanding of basic HR policies, procedures, and practices. Ability to address problems and opportunities for the company. Excellent IT Skills (MS Office including Excel, PowerPoint, and many others). Excellent analytical skills.
