We are looking for an organised, experienced and committed Programme Coordinator to monitor contracts, report attendance, deal with day-to-day operations and support the development of the business area. It includes liaising with local stakeholders, parents, schools, and students. You will be supporting the wider action team including the transition camps run through the summer holidays. Individuals who have experience in customer service, business admin and operations would be suitable as well as someone who can multi-task Key Responsibilities Manage a comprehensive portfolio of school/contract requirements. Manage the day-to-day operations of the Alternative Provision department. Mobilise new provisions by negotiating and securing venues for our provisions, Securing LMP Staff, arranging drop off for equipment and carrying out a risk assessment. Manage agreement of SLA's (Service Level Agreements) between LMP and Client, referral forms to be completed and start date agreed. Ensure quality on-boarding for new learners, including creating learner timetables, contacting parents, sending initial startup letters and key documentation. Liaise with HR to source new staff, interview for job roles, ensure staff induction and on-boarding is completed. Manage attendance monitoring and liaison with schools and various centers. Manage the tutors and coaches and deal with sickness and absences. Manage and coordinate the compliance arrangements of the programme, ensuring that internal and external communication and reporting arrangements are maintained to a high standard. Support the Alternative Provision Manager in the effective monitoring and reporting systems to ensure that a comprehensive report can be written up following the requirements of contracts. Ensure the operational coordination of programmes meet their KPI's. Act as a key point of contact for the programme for both internal and external stakeholders, promoting clear and effective communication while understanding of conflicting partner and stakeholder priorities. Prepare performance reports, against targets, as required. Ensure that the appropriate, processes, documentation etc. are in place to drive a process of continuous quality improvement. Liaise with Alternative Provision Manager to meet KPI's and adhere to contractual requirements. Keep track of young people by using online data systems and complete the required paperwork for monitoring and ensure reports are sent to schools. Maintain high standards of quality and compliance and complete all contractual paperwork and documentation as required. Work with the alternative provision department to ensure the programme is fully prepared for audit inspections. Work alongside the operations manager to plan and deliver staff training and development. Liaise with finance to create and send invoices and statements to clients. Conduct research to gather information through surveys, interviews/focus groups. Where business needs change, to undertake other responsibilities which are of a commensurate level outside the terms of this role profile. This may include supporting other programmes especially during our busy summer period. Deputise for the Alternative Provision manager as needed. Qualifications & Experience Project coordination experience (essential). Experience working with stakeholders including students, teachers and employers (desirable). Strong organisation skills (essential). Possess excellent interpersonal skills, and be confident interacting with anyone, no matter their background or level of influence (essential). Bring experience of designing and implementing administrative systems (desirable). Ability to manage workload and ensure compliance of records (essential).
