REPORTING TO: Head of Department (STEM & Business Development)
SALARY: £21,000 - £25,000
Responsible for the effective administration and organisation of a range of Train’d Up provision, the Curriculum Co-ordinator will provide highly effective, efficient and timely administrative support, meeting the varied needs and complexities of Train’d Up’s provision.
General duties include:
1.To administer learner documentation and data in line with business and Education & Skills Funding Agency procedures and processes
2.Manage workload effectively and efficiently
3.Support managers and delivery staff to achieve the highest possible standards
4.Keep up-to-date with the latest systems and processes to effectively support the business
5.Maintain an excellent knowledge of Government funding rules for Apprenticeships and other provision
6.Ensure adherence to financial systems and processes
7.Build collaborative relationships across the business (both internally and externally)
Role specific duties include:
1.Process Apprenticeship paperwork following Government funding rules and company procedures and processes
2.Have an excellent understanding of ESFA Apprenticeship funding rules and internal business processes
3.Plan and organise cost efficient national Functional Skills delivery for all Curriculum areas
4.Book accommodation for national delivery staff
5.Administration and co-ordination of all processes associated with work-based learning and apprenticeships (responsible for the entire learner journey, from application to End-Point Assessment)
6.Produce regular performance reports for the Senior Management Team
7.Provide information, advice and guidance in relation to Apprenticeships and work-based learning (both internally and externally)
8.Update and maintain Learner Management System (APTEM), ensuring data is collected and recorded in line with data regulations and contractual obligations
9.Process Apprenticeship data, including for example the input of Apprenticeship enrolments, withdrawals, transfers, achievements and breaks in learning
10.Assist with the interrogation of the APTEM learner management system to resolve queries effectively and timely, for example clearing of Apprenticeship ILR / DAS errors, (elevating queries accordingly to the Head of Department (STEM & Business Development) and Head of Quality & Compliance)
11.Process requests via the Digital Apprenticeship Service (DAS)
12.Support examination and End-Point Assessment processes, including claiming achievements
13.Contribute to and respond to apprenticeship data requests and queries, for example tracking starts and completers, breaks in learning returners etc.
14.Respond to both internal and external queries in a timely manner
15.Answer and address incoming calls in a timely and professional manner
16.Professionally liaise with internal and external customers through varied communication channels to ensure the business maintains operational effectiveness
17.Attend careers and recruitment events
18.Work collaboratively with other administrative staff
19.Any other duties as required by the Head of Department (STEM & Business Development) and Company Directors.
Skills & qualities required:
•Qualified to HNC level with at least 3 years’ experience of working in a fast moving, target based environment
•Knowledge of Apprenticeship models and delivery (preferable but not essential)
•Excellent verbal and written communication skills
•Competent user of Microsoft Outlook, Word, Excel and Power Point
•Ability to work on own initiative
•Excellent organisational and analytical skills
•Display a ‘can do, will do’ attitude
•Sense of discretion
•Full UK Driving Licence
